[Cinci-nfb] Convention transportation option

Thanks to all those who responded. Enterprise rental car was suggested by
Sheri and Deborah so I spoke with a rep today. They do not have any 15 or 12
passenger vans or any van large enough to transport all of us available on
the dates that we want. The rep said they don't have very many so they go
quickly. People typically book them months in advance.

 

On a side note, I actually started my initial search by using travel
websites like Travelocity to search through the major car rental companies
like Hertz, Enterprise, and so on. None of them had an option for a large
capacity van in our area. There was one mentioned available at the airport
CVG but it was more than $900 so I started looking elsewhere by searching on
terms like "15 passenger van rental in Cincinnati" using google. This led me
to K&K motors. It also gave me the suggestion of Enterprise. I did some
initial search on Enterprise but their website kept telling me that there
were no vans available. I then switched gears to look at K&K deciding that
it was better to just get an initial quote so we could have an idea of the
costs involved in renting a van.

 

That said I started anew today using a multitude of sites to search for a
van. I finally ran across a site called carrentals.com which had the
following options for a van:

 

Avis & Budget at the CVG airport has a 12 passenger van for $200 per day
making it $800 before tax or $997 with tax to rent the van.

 

Avis & Budget on Montgomery Rd has a 12 passenger van for $170 per day
making it $680 before taxes or $720.77 with tax to rent the van.

 

As a reminder, K&K motors on Reading rd. had a 15 passenger van for $636
before tax and $680 with taxes.

 

I think we need to move quickly to at least reserve a vehicle even if we
don't end up needing one. The supply is limited in our area. This may be due
in part to the close proximity to Thanksgiving which is the biggest travel
day of the year. 

 

Once again, I am open to suggestions for additional rental companies. Note
that I have looked at Hertz, Enterprise, Expedia, carrentals.com,
Travelocity, and just google searched for the van.

Thank you for doing this homework! Can you please check out the rate at
Enterprise? Then, we need to find out how many members are going to be using
the van.

Hi All,

 

I have done some minimal research on a 15 passenger van that I would to
share with all of you. I have one quote from Nelson at K&K motors for a 15
passenger van. It is $680.00 for four days with unlimited mileage. If we
provide him with tax exempt information then the total would be $636 for 4
days with unlimited mileage. To rent the van we would have to provide a $100
security deposit which is refundable should we cancel up to a week in
advance of our rental date. We would also have to factor in gas. We are
looking at approximately 490 miles round trip so I estimate gas to be around
$100.00 perhaps more. As mentioned my husband has agreed to drive.

 

I would like to offer a little food for thought in the event we want to rent
a van. Instead of giving each attendee a stipend of $25 (as in prior years),
we simply apply that stipend to the transportation cost reducing each
attendees cost by $25. An example of my thought would breakdown as follows: 

 

Rental Cost: $636.00 (assuming we can use the NFB Ohio tax exempt number)

# Of members attending: 12

Per Member Cost before chapter contribution: $53

Proposed chapter contribution: $25 per attendee using the van

Total Cost Per Attendee: $28 

Please note this cost would vary depending on the actual number of attendees
who use the van.

 

In my example the chapters estimated contribution would be $400. This is
$300 for the van rental and $100 in estimated fuel expenses. Since Mike is
driving we will not need to include more money for hotel and food. 

 

My suggestion is not a motion on the floor just one possible option among
many. Renting a van means that we would not have to worry about the stress
of borrowing one. What do you all think? I am happy to get additional quotes
if the group thinks renting a van is a viable option.
