The Immigrants' Rights Project (IRP) of the ACLU's National office in San Francisco, CA seeks applications for a full-time Office Manager.

The Immigrants' Rights Project conducts the largest litigation program in the country dedicated to enforcing and defending the constitutional and civil rights of immigrants and to combating public and private discrimination against non-citizens.  The Project also supports and coordinates the immigrants' rights work of the ACLU's 53 affiliates around the country.
The IRP maintains offices in New York and California (and additional staff in Los Angeles and Atlanta) with combined staff of nineteen, plus legal fellows, interns and volunteers.

The Office Manager supervises administrative staff, manages day-to-day office operations; develops, implements and monitors systems and procedures; and manages office finances. The position also assists with budget management and fundraising. The Office Manager is responsible for cultivating a professional and productive office environment.


*         Work collaboratively with the Project Director to maintain and improve administrative functions related to the Project's litigation and programmatic work.

*         Manage the Project Director's calendar, answer phones and prepare correspondence.  Oversee management of all office systems.

*         Coordinate activities of administrative staff in the San Francisco and New York offices.

*         Assist the Director with employment and human resources matters, including preparation of documents relating to hiring and performance management.

*         Assist Director with budget forecasting and preparation of the annual budget; track revenue and expenses to ensure compliance with budget.

*         Assist with fundraising, coordinate with the national Development department, assist with maintaining donor records; prepare donor solicitations and correspondence.

*         Manage office space, and coordinate activities with the facilities manager for the ACLU of Northern California.

*         Under the direction of IT department and local IT consultant, perform basic troubleshooting and maintenance of local network and workstations.

*         Maintain office supply inventory and ensure proper maintenance of office equipment.

*         Review, negotiate and monitor service contracts for office equipment.

*         Assist with planning and logistics for internal meetings, including staff meetings and annual conferences.

*         Perform other duties as assigned.


*         Bachelor's degree required.

*         Minimum of 2 years' office manager experience, or experience working in a similar capacity.

*         Ability to communicate effectively, foster a team environment and encourage the professional growth and development of administrative staff.

*         Facilities management experience required.

*         Supervisory and/or paralegal experience is preferred.

*         Ability to identify problems within an office environment and use sound judgment to develop solutions.

*         Knowledge of records management and retention requirements.

*         Experience creating and maintaining record management systems.

*         Strong knowledge of general accounting procedures, terms and concepts, including familiarity with preparing and understanding general journal entries.

*         Proficiency with Microsoft(r) Office products.

*         Experience with basic maintenance and troubleshooting of computer and network hardware and software.

*         Exceptional interpersonal skills.

*         Resourcefulness, excellent organization skills, and attention to detail are critical.

*         Strong written and verbal communication skills.
