[Ncabs] March 2012 Minutes

How about 30 and 30? The agenda was initially created with large print settings.

We have heard a lot of complaints that the online form this year has not worked properly. We were not able to use the same form that we used last year, which was a great system.

On recent conference calls, we have consistently discussed these concerns and the possibility that many people may think that they have registered when they indeed have not.

This is, in no way, criticism of Justin Thornton's performance as webmaster. We are truly grateful for his service.

Because we wish to ensure full participation of those who arrive at the seminar, we wish to order more agendas than the number of students who have pre-registered.

If the numbers that we have received via the online registration form are indeed indicative of attendance, we will have all-time record low attendance for a seminar that we have advertised more thoroughly than ever.

Because of the pre-registration dilemma, we have ordered lunch (and are paying for lunch) for 60 people. We decided how to predict actual attendance numbers from registration numbers on recent conference calls.

Because we are catering for 60 people, we discussed requesting agendas for that many people, leaving room for the variation in reading media. We were not able to effectively collect this data.

We wish to ensure full participation of those who arrive at the seminar.

I do wish that this concern had been raised on the conference call tonight while we were all there to discuss it, but I am indeed, as always, grateful that we are discussing it.

Does anyone else have an opinion to voice about the quantity of agendas being requested?

Thank you all, and have a good night!

Justin

Subject: Re: [Ncabs] March 2012 Minutes

Hi everyone,

I am confused why we are ordering and requesting 40 Braille agendas
and 40 large print agendas. This makes a total of 80 copies of the
agenda in a specialized format. If I am reading these minutes
correctly, we have a maximum of 25 people signed up to attend on
Saturday. While a few more participants will probably arrive
throughout the day without registering, the difference between 25 and
80 is significant and cannot be ignored.

assuming that perhaps 15 more individuals sign up on the day of
registration, we would still be asking for more than double the amount
of agendas produced for the amount of registered participants in
specialized formats. Of course, none of these figures take into
consideration the people asking for agendas produced in regular print.
Does the registration form even specify or ask participants for their
preferred reading format?

I remember that there have always been way too many copies of the
agenda produced each year that we end up tossing at the end of the
day, and I think we should be extremely cautious with the number of
materials we request for production when in all fairness most of them
will go ignored, unread, or completely unused. Inevitably, this
results in a lot of wasted time and effort, Braille, print, and paper.
