Hi Ramona,

I agree, that conference calls can be a bit frustrating for a number of
reasons that include technology and the number of people on the call.  But
given that we are a group that are spread out all over the world, e-mail and
conference calls are what bring us together.  Here are some ideas to
consider that might help for some of the issues.

1.  As we each dial into the conference call, the system provides us with
the number of which participant we are.  If we each make a point of
remembering that number, when it comes time to do roll call, or take a vote
over the phone, the meeting facilitator can call out each number, and that
caller can respond.
2.  While on a conference call if it is necessary to take a vote and
confidentiality is needed, each member can send an e-mail with their vote to
a single designated person who tally's the results, and does not share
individual pieces of information.  This e-mail would be sent during that
call, and the designated person would announce how many e-mails they
received at the end of that voting period during the call.  There are some
technical issues with this that I will not go into right now.
3.  Use a web-based tool such as Survey Monkey for members to access and
submit their vote during a specific window of time.

My email has been dead for several days, and I am reading from the present
backwards, so have not seen everything yet.  There is another article in the
Constitution that provides, I believe,  for the election of two board
members in odd numbered years.  If either of these two people is unable to
serve during the next year, that person can be replaced by a vote in the
same way as officers are elected.  If a board member becomes an officer,
then the board position would also be filled.  

The Constitution can be amended by a two-thirds majority vote of the members
present and voting at any regular business meeting. I think it is necessary
to circulate the proposed amendment before the meeting, but don't remember
the specifics about this.  I seem to recall that the Constitution is on the
Website. If not, it has been circulated and can be again.  It is certainly
no secret.   

Whether members can be included on a conference call may depend on whether
we can set it up so that we can hear each other.  At this short notice, it
may be difficult to deal with unexpected circumstances. 
However many years ago it was, I was asked to help draft the Constitution
and did so.  We used a model, but put in some things that were wanted for
this division.  Nevertheless, changes may be needed.  

I think we are still learning how to conduct meetings when people really
don't get together in person.  The more people on a conference call, the
more difficult it is to hear everybody and give everybody a chance to
comment as appropriate.  I find it exhausting to try to hear well enough to
take clear notes and participate in the meeting.  I find live meetings much
more satisfactory.  Obviously, if I were not able to attend live meetings, I
would be less happy about them.  We have had about the same number of people
present on conference call meetings as have attended live meetings at the
NFB convention.  So the answers to some of these questions are not going to
be simple.  Positive suggestions are always welcome. 
I think the division has met a need and been fun for many. It has been busy
and grown into a large group.  People come and go on the list, and there is
nothing wrong with that.  So let's keep figuring out where we want to go
next.

Well, now we know! I just read the constitution.

This is an even year so.

 

Do you want your existing board of directors to stay? If not, you'd better
talk to Joyce about this ASAP.

 

Article V.  Officers and Their Duties.  There shall be elected at the
regular annual meeting during each even-numbered year: President, First Vice
President, Second Vice President, Secretary, and Treasurer.  The two-year
terms of these officers shall begin at the close of the meeting at which
they are elected and qualified.  Officers shall be elected by a majority
vote of the active members present and voting.  There shall be no proxy
voting.  If no nominee receives a majority vote on the first ballot, the
name of the person receiving the fewest votes shall be dropped from the list
of nominees, and a second ballot shall be taken.  This procedure shall
continue until one of the nominees has received a majority vote from the
active members present and voting.  The duties of each officer shall be
those ordinarily associated with that office.  The President and the Vice
Presidents must be blind.
