Richard. Thanks for that clarification. As a chapter secretary who has been recording minutes for years, it would be nice for the Affiliate to have a rubric for incoming secretaries on the content of the minutes, format and what should be included. We've had a long-standing practice in Cincinnati of not including information from the Treasurer's Report in the minutes-only that it is presented, approved, and who moved to accept it.

My general recommendation is that the minutes should reflect the actions taken by the chapter rather than serve as a complete record of every report presented. For a treasurer's report, the minutes should indicate that the report was given and received by the chapter. If there were specific motions related to the report-such as approval of expenditures, adoption of a budget, or other financial actions-those actions should be recorded in the minutes. I think that there is value in recording the balance of the chapter treasury as part of the minutes for historical record keeping and transparency to the chapter. This way there is a clear record and members cannot say that information has been withheld. I do not feel any line of the treasurers report need be reflected in the minutes. The chapter may wish to preserve the treasurers report as an attachment to the official minutes as a historical record.



Please note that sending something to a listserv is not creating a historical record of the approved documents of the chapter.
