My experience in outreach activities is in both NFB  outreach and doing it
for my agency. 
I have gone to small YMCA events where we played with children for the NFB
as well religious institutions with big crowds. 
I have also done the same for big county fairs and small group meetings. 
The idea is to reach out to as many people to inform them about the services
offered. 
In two weeks, I will be going to University of Maryland open house to
participate in an outreach and educational event. I consider it to be a NFB
outreach as well as Braille education and demonstration activity. 
Of course, there will be many other people in the Adaptive technology lab.
It is fun to meet new people and to give them information about our
organization. 
If people give me their business card for me to contact, I will put in a
specific place. We have to try many tricks before we find the right one for
us.

I have nominal braille skills myself. We're talking so pretty skillet the
alphabet and a few punctuation marks. Too bad you don't have access to a
braille printer because then you could make A lot of this accessible though
copious pages.

I do think her suggestion about no cards with braille labels even if
shorthand that you can read would be a major help see you hand out the right
thing. You and I both have to going up on our braille skills. The only thing
I can use successfully is one of those have a clunky Perkins Braillers. I
would ask for things in electronic format such as brochures and forms etc.
so you at least can be familiar with what is on there. If things can be in a
word document then you should be able to fill out the forms for people.
Getting around to the fairs and afore-mentioned places you're probably not
going alone so that is an acceptable accommodation I would think. Then you
would have tagteam effort to man the stand. I don't think I have ever been
in a table alone for various organizations too often. It usually isn't a lot
of time. Basically like when one person goes to grab lunch or go to the
bathroom. If there's a lull maybe somebody goes to look at the other tables
but other than that I've always done it tandem. Heaven candy or a game,
maybe a door prize for them to draw people to the table would help and you
can feel most of this. I just stand in front of the table on call out
hello's to passerby and either try to engage in conversation or just
announce that the tables there in what it's for. Yeah it may seem like
carnival barking but if you're the only one at the table and can't see
whether people are slowing down, looking at you and the names on the table
for your organization etc. it works. Having music in the background to
attract can either bring people over or be distracting for you. There's
nothing that works like magic.  
OfficeMax offers several options for expandable files and if you label each
in some way, you should be able to set up the table easily. I still like
Yazmin's Braille note card idea. I'm not quite sure reader will help with
things. I use a cheap Photo album to keep track of them. about business
cards. Knfb reader should be helpful identifying brochures, etc.
