I am sorry to say, but this is an unorganized way to persue any task.
We were made aware of this event longtime back.
And since you chair the PR committee you should have called a meeting to discuss the logistics on spreading the word around for this event well in advance.
I would love to offer myself for this great cause, but on this short notice I cannot because I have other commitments.
 
On a different subject, I haven't received your travel info for the Washington Seminar yet, I am wondering if you are still planning to go.
