Job Description:

The Iowa Department for the Blind (IDB) is
seeking a detail-oriented, organized and flexible
office professional to support our programs. We
are looking for someone who is motivated and
passionate to join a team prioritizing the
success of individuals who are blind to achieve
success in employment.

Duties and responsibilities to include the following:
Customer Service / Office Management
Perform in-bound and outbound client, business
enterprises (BEP) vendor and customer service
support for the business enterprises and
vocational rehabilitation programs via phone,
mail, email, scans, text, and/or video conferencing.
Complete and accurately respond to client or
customer requests for appointments; schedule
appointments and capture contact information. Use
standard technology such as a telephone, email,
calendar scheduling and web browser to complete
daily tasks, including case management,
scheduling, and taking meeting minutes.
As required, manage office/receptionist duties to
include, but are not limited to: greeting walk
ins and scheduling clients, ansswering phones,
opening and routing mail, emailing correspondence, faxing, routing and filing.
Case Management
Perform specific case management duties to assist
counselor in managing caseload; monitor service
provision for clients conducts phone and
in-person reviews on routine cases and completes
paperwork and/or computer entries for progress reviews.
Monitors receipt of reports and medical records.
Follow up on past due payments and documents with
vendors, and client authorizations with
counselors; coordinates with counselors on remedying errors.
Under direction of the counselor, coordinate and
schedule appointments, medical examinations,
evaluations, facility and educational training and other services.
Under direction of the counselor, assist and
support clients in achieving employment goals.
Prepare correspondence, types and proofreads letters and forms as required.
Client and BEP Vendor Service Provision
Develop accessible spreadsheets and forms, set up
functions for data entry and processing
information required by the business enterprises
and vocational rehabilitation programs;
accurately enter and transfer data into spreadsheets.
Search for and provide information and reports to
program supervisors, co-workers, and BEP vendors
by telephone, in digital and hard-copy written
form, e-mail, video conferencing, or in person.
Perform day-to-day administrative tasks such as
organizing and maintaining information files and processing paperwork.
Send timely announcements of public meetings by
email to other divisions for posting.
Maintain the office area and office equipment;
inform supervisor or appropriate staff of any need for external support.
It is the policy of the Department for the Blind
to conduct background checks on all finalist
candidates prior to any offer of employment.

081 Typing Score of 60 or greater (60-69 WPM)

AND
207 Editing
6 monthsâ experience, 12 semester hours, or a
combination of both in applying analysis and
judgment to find and solve problems of grammar,
spelling, punctuation, substance, format,
organization, and style by altering, adapting, or
refining content of publications, mass mailings,
forms, or other material. Includes reviewing text
for inconsistencies and rewriting text to improve
accuracy, clarity, coherence, consistency, and effectiveness.
AND
162 Data Entry
6 monthsâ experience, 12 semester hours, or a
combination of both in the process of entering
data into a computerized spreadsheet or database.
Minimum Qualification Requirements
Experience equal to one year of full-time clerical or closely related work;
OR
post high school course work in an accredited
secretarial, business, or closely related
curriculum may be substituted for the required
experience on a month-for-month basis;
OR
completion of thirty (30) semester (or
equivalent) hours of undergraduate college level
course work may be substituted for the one year of required experience;
OR
certification from the State of Iowa
Administrative Assistant Certificate Program will
substitute for six months of the required experience;
OR
employees with current continuous experience in
the state executive branch that includes permanent status as a TypistAdvanced.
