Greetings fellow federationists in New York.
While some difficulties regarding funding at our past convention had to do
with problems with emails being rerouted to spam filters from the
president at nfbny.org <mailto:president at nfbny.org> email address. There was
also a wealth of confusion surrounding how one should reply to accept the
funding, and who an individual should contact regarding the status of a
funding request. We do not want our members to be unable to access the funds
which they have been approved to receive, nor do we want our officers to be
at the whim of a lack of planning or follow through on the part of a member.
All funding requests, as submitted through the form on our website
nfbny.org/funding-request will be considered by the executive board within
three to seven days from the deadline for funding request submissions.
Notifications of the results of a funding request will be sent out within 24
to 48 hours of the meeting at which the decisions were reached by the
executive board. This means that decision emails will be sent out four to
nine days from the deadline for submissions. Emails notifying individuals of
the results of their requests will be sent out individually, by one
designated individual, typically the president, and thereby avoid any
confusion as to whether they must use the "reply" vs. the "reply all"
function to respond. In addition, the email providing the information
regarding the process one must follow to accept the terms and claim the
granted funding will also include the email address to which acceptance must
be sent, for further clarity.
Once an individual accepts their funding, and in conjunction with the
authorization for payment process, the individual sending out the
notifications, again, typically the president, and if not, then their
designee will also respond to the individual letting them know that their
acceptance has been received. The president and then the treasurer will,
authorize, and then issue, respectively the payments to those applicants
receiving funding. Additionally, there will be a deadline by which one must
respond or forfeit the funding. This date specific to the request will be
included in the email notifying one of their approved funding amounts, and
the fact of their being a deadline for accepting the funding, more
generally, will be made clear in the email, in the policy dissemination on
New York News, and on the website. If an individual does not respond in the
affirmative to the email granting them the funding, or alternatively, if
they do not find any email communication regarding the status of their
request, they must send an inquiry email to the email specified in the
policy, at this time, heather.L.bird at gmail.com
<mailto:heather.L.bird at gmail.com> prior to the response deadline, or the
funding will be forfeit.
The president will authorize the sending of the funding within 24 to 48
hours of receipt of the acceptance of the terms of funding. The treasurer
will issue the funding within 24 to 72 hours of the authorization of the
president. This means that the funding will be issued within two days to 5
days from the receipt of the funding acceptance. Anyone who does not have
access to, or who needs assistance with the skill set needed to read, write,
and respond to emails is responsible for taking the necessary steps to
arrange with an individual, assisting them in matters of email
communications to ensure that they follow this policy. If an individual does
not receive a response from the designated email and the deadline is quickly
approaching, then they should contact the first vice president at

individual's funding is rescinded due to a lack of response, to appeal this
decision, they must produce evidence of their good faith effort to follow
the policy, i.e., a copy of the email(s) they sent to comply with the
policy.
This policy was crafted with the goals of transparency, clarity, and
accountability for all, our general membership, and our leadership alike.
