Purpose of Position
THIS POSTING WILL BE USED FOR ON-GOING RECRUITMENT AND WILL REMAIN OPEN
UNTIL FILLED.
 
Why does the job exist?
The Executive Secretary provides high-level administrative support for the
Executive Director and handles more complex responsibilities than the other
office and administrative support workers with the Commission. The Executive
Secretary must have a comprehensive knowledge of policies and procedures of
administrative and clerical procedures and systems, customer and personal
service, computers and electronics, and administration and management.
Incumbents in this position must make decisions daily on time management and
prioritizing tasks.
 
How does it get done?
Provide high-level administrative support to the Executive Director
Prepare agendas and make arrangements for meetings of committees, executive
boards, management, and commissioners
Plan, analyze, and recommend courses of action to the Executive Director and
agency management
Prepare and process documents
Prepare and process purchase orders
 
Who are the customers?
The Executive Director, Commission employees, and consumers of New Mexico
 
Ideal Candidate
The Executive Secretary should have experience interpreting and applying
complex rules and regulations, should have experience working in high-paced
office settings, should have experience producing accurate documents and
publications.
 
Minimum Qualification
High School diploma or Equivalent and two (2) years work experience in
office administration. Substitutions Apply. See Substitution Table below.

These combinations of education and experience qualify you for the position:
1. High School Diploma AND 2 years of experience
2. Associate's degree or higher (Bachelor's, Master's) AND 0 years of
experience

a field (e.g. 6 semester hours in Accounting), applicants MUST have those
semester hours in order to meet the minimum qualifications. No substitutions

Employment Requirements
Employment is subject to a pre-employment background investigation and is
conditional pending results of the investigation.
 
Working Conditions
Executive Order 2021-046 requires all employees with the State of New Mexico
to provide either proof of COVID-19 vaccination or proof of a COVID-19 viral
test every week.
The Public Health Order (on Vaccination) dated August 17, 2021, requires
Congregate Care Facility Workers and Hospital Workers to be fully
vaccinated.

Work is performed in an office setting, where duties generally require
walking, sitting, standing, lifting, and bending. Requires extensive
operation of office equipment, such as computer, copier, phone, fax, postage
meter, etc.. Regularly exposed to Video Display Terminal (VDTI; Occasionally
interacts with individuals with secondary disabilities, some of which may
result in challenging behaviors. Occasionally works near service animals.
Occasionally requires some travel, including overnight travel throughout New
Mexico, including regular overnight travel using agency vehicles.
