Catering Policies
Should actual revenue fall 20% or more below anticipated revenue then additional room rental will apply. Anticipated revenue may be adjusted
without penalty up to six months prior to arrival.
The initial count for all meal functions should be within 20% of final guarantee. The Hotel s Catering Department requires a guaranteed
attendance count 72 hours (3 business days) prior to the function for all catered functions and bars. If no guarantee is received, the Hotel
will prepare and charge for the number of persons estimated from the Banquet Event Order. Charges will be based on no less than the
guaranteed number. The Hotel will be prepared to serve 5% over the guaranteed number, up to 25 plates. If guaranteed count is received
after the 72 hour deadline, the Hotel will no longer prepare 5% over the count. If number of guests exceeds the guarantee at the function,
our kitchen does not guarantee the selected menu items. Weekend functions must turn in final guarantees by Thursday at 5:00PM. If there
are two menu items selected, an exact guarantee is required for each selection.
Due to the fluctuation of wholesale food prices, we are unable to guarantee prices more than 60 days prior to the function. However, if
specific menu selections have been made and confirmed to you, these prices will be honored regardless of the changes in cost to the Holiday
Inn Grand Montana. Final menu selections must be submitted two (2) weeks prior to the function to insure the availability of the desired menu.
To best accommodate all set-ups and menu requests, finalized agendas for your function must be completed 21 days prior to your arrival. The
exception being final numbers as specified earlier in this agreement.
A cash bar exists when the guest purchases drinks individually. A $75.00 minimum in sales per hour per bar must be obtained, or the
difference in sales will be charged to the client account. A 18% service charge will be added to the sales on all host-bar functions.
All applicable liquor laws must be observed, including Dram Shop, Underage and Liability laws.
All banquet tickets must be signed by the person in charge or a designated representative at the completion of each function. Any
discrepancies in counts or changes should be identified at that time.
The hotel has a 18% service charge, plus a 100% Team Excellence Guarantee program. All service charges gained will be distributed 100%
to non-management team members in banquet service, banquet setup and culinary production departments.
A deposit is required for all catering functions unless prior credit payment arrangements have been established with this hotel.
Payment in full is required 72 hours prior to the completion of all catering functions unless prior credit arrangements have been
established with the hotel. The signer of this prospectus and/or their specific designate is responsible for payment and that payment is to be
made to the Banquet Manager at the end of the function.
If a change from the original room set-up is requested within 24 hours of the function, a labor charge will be added to the banquet ticket of
no less than $100.00.
Hotel does not assume liability for any personal items (including audio visual equipment)
No food or beverage of any kind may be brought into the Holiday Inn Grand Montana banquet/ meeting rooms or the Convention Center without
prior written approval of the General Manager.
The hotel reserves the right for final authority over bands, DJs, musicians and the entertainment with regard to volume and
professionalism, whether they are booked by the client or the hotel.
Holiday Inn Grand Catering policy states absolutely no banquet food may leave the premises after a catered function. Any request for leftover
catering items prepared by Holiday Inn Grand will be denied. Potential liability lawsuits for food borne illness precludes us from allowing
anyone to remove leftover or excess catered food from the property.
The Hotel may request that the customer obtain and pay for bonded security personnel when valuable merchandise or exhibits are displayed
or held overnight in the Hotel.
Function guests will be admitted to the banquet room and expected to depart at the times stated on the Banquet Event Order. The hotel is not
responsible for damage to or loss of any items left in the Hotel prior to, during or following any function.
The customer is responsible for the arrangements and all expenses of shipping materials, merchandise, exhibits or any other items to and
from the Hotel. The Hotel must be notified in advance of shipping arrangements to insure proper acceptance of these items upon arrival at
the Hotel.
The Hotel reserves the right to move functions to other banquet/meeting rooms other than those appearing on the banquet event order without prior notification.
The customer is responsible and shall reimburse the hotel for any
damage, loss or liability incurred by any of the customer's guests or any persons or organizations by the customer, providing any service of
good before, during or after the function.
Any items to be put on any meeting room, lobby walls or any directional signs must be approved by the Hotel
The Hotel should not be liable for any non-performance of this contract when such nonperformance is attributable to labor troubles, disputes or
strikes, accidents, government (Federal, State, Municipal) regulation of, or restrictions upon travel or transportation, non-availability of
food, beverage or supplies, riots, national emergencies, acts of God and other causes whether enumerated herein or not, which are beyond the
reasonable control of the Hotel, preventing or interfering with the Hotel s performance.
Notwithstanding any other provision of this agreement, the Hotel shall be relieved from all requirements hereof, and this agreement shall
terminate if the Hotel shall sell, transfer or otherwise convey its interest in this Hotel, provided the Hotel has given at least 60 days
notice of the transfer of its interest in the Hotel and termination of this agreement. In the event of any such termination, the Hotel shall
return all advance payments or deposits whereupon the parties shall have no further obligations to each other, provided that if the Hotel
shall be continued in operation as a Hotel after such transfer by the Hotel, then the Hotel may assign all of its rights and obligations
under this agreement to the new owner who shall then be solely responsible for the performance hereunder, and the Hotel shall be
relieved of all obligations and responsibilities under this agreement upon transfer of all advance payments and deposits received by the
Hotel to the new owner.
Affixing banners, posters, or signage to any of the Holiday Inn property must be approved by Management. You are responsible for any
damage to walls, floors, windows, doors, ceilings, etc. and you will be charged accordingly. We ask that no confetti or glitter be utilized.
Security: We have no insurance for and are not responsible for any loss or damage to our property. If required, in our sole judgment, in order
to maintain adequate security measures in light of the size and/or nature of your function, you will provide, at your expense, security
personnel supplied by a reputable licensed guard or security agency doing business in the city or county in which we are located, which agency will be subject to our prior approval. Such security personnel may not carry weapons. For the safety of persons and property, no
fireworks or incendiary devices may be used indoors. Group agrees to comply with all applicable federal, state and local laws including
health and safety codes and federal antiterrorism laws.
Indemnification & Insurance: To the extent permitted by law, both parties agree to protect, indemnify, defend and hold harmless Holiday
Inn Grand Montana, and the owner of the Hotel, and their respective employees and agents against all claims, losses or damage to persons or
property, governmental charges or fines, and costs (including reasonable attorney s fees), arising out of or connected with your
function, except those claims arising out of the sole negligence or willful misconduct of the Hotel. Both parties further agree to obtain
and keep in force General Liability Insurance covering the event described in this contract with limits of not less than $1,000,000 per
occurrence and to provide the Hotel with a certificate of insurance naming Hotel, Holiday Inn Grand MT and the owner as an additional
insured for your event.
