[Trainer-talk] Questions about lesson notes and progress reports.

Hello Everyone,

Since I only started working for an agency as an Assistive Technology Specialist two months ago, I was just curious if the following policy is general?  We have to write lesson notes for each student we train.  We then have to write a monthly progress report summarizing the lesson notes for each student as well.  Once that is complete, we have to complete a form confirming that all this is done and answer a few other questions including all the authorization numbers you used and any additional hours you requested this month.  The thing is the deadline for all of April's paperwork is on the last working day of April.  Oh yeah, I forgot to mention that we have two hours a week to do our paperwork unless a student is absent.  Currently, my two paperwork hours are on Wednesdays from 10:00 AM to 12:00 noon.  However, my schedule will change in May and it will be Mondays from 10:00 AM to 12:00 noon.  this means that in addition to two hours of meetings, 36 hours are scheduled for teaching.  Having said all this, these are my questions:

1. do you generally get more than two hours to complete your paperwork?

2. my coworkers advised me to come up with independent tasks for my students toward the end of the month so that I can take that time to complete the paperwork.  I just can't seem to be able to do that since most of my current students require a lot of personal attention.  What do you do in that situation?

3. I was also advised to write progress reports ahead of time and then if things are different, make changes.  My problem this month was things did change with the two students I had in my last two classes of the month which is right on the deadline.  It was impossible for me to change their lesson notes, progress reports and the confirmation form in time for the deadline and teach at the same time.  Anyone have any suggestions for this?

4. Maybe it's just me, but does it even make sense to have the deadline for this month's paper work on the last working day of this month?  That would be like instead of doing last year's taxes by April 15 of this year, you had to do it by December 31 of last year for last year's taxes.  I would think it makes more sense to have the deadline for all of this month's lesson notes on at least the first working day of the next month and the deadline for the progress reports on at least the fifth working day of the next month.  For those of you who have monthly deadlines, are your deadlines for this month's paperwork on the last working day of this month?
