Hi. I don't know if this helps but here is my two cents.
First I always keep a running note file on each student. This way when 
report writing comes half of my notes can ve copied and pasted. Also some of 
this work I do at home where it is quiet and I can think. I also use this 
home time to come up with independent exercises and creative lessons so as 
not to keep students from getting bored. As far as deadlines it has always 
been towards the end of the month and I've never had a problem with that.
I have trained students both at a center for the blind and independently as 
a contract trainer.
You will find the more you do it the easier it gets. Especially when it 
comes to creating independent lessons and / or exercises. You will soon 
build up a nice assortment of things you can always use later.
