Steve's suggestion of trying the JAWS Convenient OCR certainly should be considered at times.  I think we can easily fall into a trap, though, thinking that if we don't have access to every piece of visual information that we are missing out.  This is not meant to justify not making things accessible, but it is a practical observation.  First, most information presented is reinforcing information that is being provided in another way.  If one goes through too many steps to get the information being displayed, they're probably going to miss other information not displayed.  It is a balancing act.

In my experience, shared screens tend to be changing.  In some cases, it could be a static Excel spreadsheet that might work with Convenient OCR, but unless one can know what is being highlighted or selected at a given time, one is probably going to miss the main point of what is being displayed.  I do not doubt that there are times that Convenient OCR can help, so it is a tool to be considered.  One has to make independent judgements sometimes about what information is really important at a given time.  Remember that no manager worth their salt is likely to ever openly tell you that something presented is not absolutely essential.  

I have found that getting documents in advance is a pretty good compromise even if it may not satisfy the letter of the law sometimes.  I also have found that it is up to me to really study advance documents that I get if I believe they are going to be significant to understanding what takes place.  I am simply not as fast at internalizing a document through my screen reader or braille display as people can do by looking at a screen.  This certainly could partly be my shortcoming, but I think it has to do with the fact that we get our information in a long serial string where some kinds of documents are best taken in as a complete screen.  his can mean that I spend extra time going over materials, and I may well need to do some of it on my own time.  This doesn't mean we can't handle it, but it means we have to refine different skills sometimes.  For me, it also means that I take notes at a meeting, including mentioning information I need to pursue later.

Finally, I think we have to be very careful how we approach our supervisors or co-workers when looking for approaches to problems that come up.  If we ask how we should do something and they don't know, they will assume that we can't do a given task.  We have to develop approaches to problems and then ask for specific things that a co-worker can supply.  Developing our own approaches to problems can take some time and involve some trial and error.  We just have to try to not have the errors be too large.

I made the same mistake when responding to the thread. Here is what I sent
earlier that didn't make it to the list. 

I agree that having the documents sent to you in advance is the best
solution. But, if you are using JAWS, the Convenient OCR feature  will allow
you to get text from the shared screen. This works pretty well if the screen
is not constantly changing.   

I recently retired, but was a WebEx user for several years and spent many
hours a week on conferences.

I didn't realize that if I just click reply, it contacts the sender
off-list, which it did when I replied to Curtis. Curtis provided some
helpful information, but I am also curious to hear other opinions.

I am dealing with conflict with a coworker over getting the information I
need in the meetings where they use screen sharing. I emailed my questions
to the coworker. He said he would assign me tasks that he felt I could
complete, and provide me with the necessary information at that point,
instead of just answering my questions. How would you all proceed in that
case? I feel responsible for keeping up with the visual information in the
meetings just like everyone else, instead of me being provided a limited
subset of information.

Unfortunately, screen sharing is not accessible to people who cannot see the
screen. This is true no matter what meeting platform you are using. Best to
ask to have the files sent to you in advance or (next best) after the
meeting.
