Chikako,
I strongly compliment your work in planning this.  very good.
Susan  beat me to the suggestion of fruit.

the only other small item I wanted to add is 
this: I am  most impressed with your commitment 
to make  the Hospitality Room a success.  I do 
hope you can have one or two volunteers so that 
some of the time you are free to participate in 
other convention activities, and so that if 
Hospitality Room business gets heavy you have some help there.
