HKS is comprised of Helen Keller Services for the Blind, a regional division serving the New York City/Long Island area, and the Helen Keller National Center for Deaf-Blind Youth and Adults, a national division headquartered in Sands Point, New York, with a network of regional offices that extends HKS' reach across the United States.
Helen Keller National Center has an exciting career opportunity in Minneapolis, MN to work directly with our Assistant Director of Field Services as an Administrative Assistant. The Administrative Assistant is responsible for administrative support in overall contract management and localized field service operations. The position will also provide administrative support to the Assistant Director of Field Services and perform other administrative duties such as financial record keeping, managing documentation, scheduling, data entry, and maintaining the general office area. In addition, the administrative assistant will provide accessibility support to the Assistant Director of Field Services, by providing environmental and visual information and some communication facilitation and human guiding.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Managing daily office procedures such as:
* Provide administrative support to Assistant Director of Field Services, including answering emails, composing memos, and handling telephone calls.
* Manage financial record keeping, reports, files, and data, including travel reimbursements and vendor billable services.
* Provide general administrative support with scheduling, videoconferencing meetings, Blackbaud, case management system, and other administrative tasks not listed herein.
* Provide support in developing onboarding and professional development training schedules and materials for field staff.
* Respond to all inquiries in a timely, customer-friendly manner.
* Prepare and process reports by due dates and as requested.
* Provide support in proofreading applications and support documents for accessibility, document formatting, and completeness.
* Manage data in the Case Management System and run reports as needed and requested.
* Track, maintain, and monitor contract-related documentation to ensure compliance with due dates for contract applications, audits, renewals, and reporting.
* Maintain the general office area, including office equipment and furniture.
* Provide SSP services to the Assistant Director of Field Services. These duties include but are not limited to: basic communication facilitation, provision of visual and environmental information and human guide support as needed.
REQUIRED EDUCATION and/or EXPERIENCE
* Bachelor's degree preferred in business administration, vocational rehabilitation, contract management, or a related field, or equivalent work experience.
* 1-3 years of experience in office administration, legal document management, or related field
* Fluent in American Sign Language
* Strong organizational skills and attention to detail
* Excellent written and verbal communication skills
* Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision
* Proficient in Microsoft Office applications and database management
* Ability to perform basic accounting tasks such as inputting fiscal data and reviewing invoices for accuracy and completeness
PREFERRED EDUCATION and/or EXPERIENCE
* Knowledge of Adobe Acrobat and Microsoft OneDrive, SharePoint and Teams file management
* Ability to take initiative in daily office management.
* Strong analytical and problem-solving skills
* Experience with financial record-keeping and report preparation.
