Job Summary:
The Manager of Administrative Services manages the strategic
administrative functions of the office of the President/CEO and provides
special project support. This position performs time-sensitive project
management responsibilities and handles confidential information
including, preparing correspondence, receiving visitors and scheduling
meetings for the President/CEO. Essential functions will include
conducting research, preparing statistical reports, handling information
requests and performing clerical functions, such as administrative
support to the Board of Directors and Lighthouse Committee. To be
successful in this role you should be proactive, have advanced time
management and project management skills, strong communication skills
and demonstrated ability to work cooperatively in a team environment.
Essential Functions:
• Facilitate day-to-day operational and informational needs of the
President/CEO, handling all administrative aspects, including calendar
management, event coordination, meeting/greeting visitors, answering of
incoming calls/correspondence and prioritization of daily activities.
• Prioritize and manage multiple projects simultaneously and follow
through issues in a timely and professional manner. Streamline
day-to-day business operations by developing, implementing and
maintaining administrative systems as needs arise.
• Lead meeting preparation by securing space, managing technology,
preparing printed materials and agendas for President/CEO.
• Act as direct operational liaison to the Board of Directors;
coordinate Board and Committee Meetings, prepare and distribute Board
and Committee meeting minutes, information packets and agendas. Monitor
Board Member participation, maintain up-to-date Board contact
information and Committee Membership. Ensure accurate transcribing of
board minutes with 48-hour turnover of all minutes.
• Manage operations of the Philadelphia Lighthouse Program, including
Committee Staff Support, Purchasing and Distribution of approved items.
• Prepare PowerPoint presentations.
• Organize and maintain electronic and manual filing systems in support
of the President/CEO, including appropriate handling of confidential
materials.
• Prepare and draft well written reports, memos, contracts, letters and
other documents for the President/CEO using relevant computer software.
• Work directly with ASB Directors to create reports and documents for
planning and administrative requirements.
• Work directly with Director for Finance/IT to create financial and
statistical reports for the President/CEO.
• Focus on providing outstanding customer service daily to both internal
and external customers.
• Attend meetings on behalf of the President/CEO
Supervisory Responsibilities:
• This position does not have any supervisory responsibilities.
Qualifications:
• 4- year College degree
• Master in Public Administration preferred
• Three (3) - Five (5) years’ experience providing direct support to
senior level executives
• Detail-oriented, excellent organizational and project management skills.
• Solid experience with office management systems (i.e. MS Office,
online calendars and cloud systems)
• Experience and interest in internal and external communications
including, but not limited to working with Board of Directors, donors,
clients and government officials
• Experience in budget and expense tracking required
• Strong communication skills (via phone, email, and in-person)
• Experience exercising discretion and confidentiality with sensitive
company information
